Automating Conversational Memory for Logistics via WhatsApp Bot

Client Background

Our client is a rapidly growing logistics and delivery service provider with over 2,000 employees operating across Turkey and Eastern Europe. With dozens of operational WhatsApp groups managing shipments, support, and coordination across cities, they faced a growing need for communication traceability, auditability, and data mining from chat-based workflows.

Implementation

Euro IT Sourcing deployed its WhatsApp Bot to collect, archive, and make searchable all WhatsApp group data through a secure Node.js-based infrastructure. The system integrated:

• Message and media archiving (texts, attachments, shared links, usernames, and passwords)
• Full-featured dashboard built in React.js for admin access and analytics
• AI-based message query functionality (beta) allowing staff to retrieve historical group knowledge through natural language questions
• Search and filtering tools to find key messages and users' communication footprints across all groups
• Role-based automation features such as removing inactive or unauthorized members, auto-deleting sensitive data (e.g., IDs, credit card info), and NSFW content filtering (optional). Optional automations were also configured:
• Welcome messages to new group members
• Critical alerts to be acknowledged via direct messaging
• Grammar feedback and tone correction suggestions (via LLM)
• Reminder messages about communication guidelines. The platform runs on MongoDB for storage and supports optional Active Directory (AD) integration for corporate compliance and user sync.
